Utilization of GPT in Official Correspondence: Enhanced Efficiency and Quality

With the rapid advancement of artificial intelligence (AI) technology, generative language models such as GPT (Generative Pre-trained Transformer) are increasingly relied upon to support various administrative activities, including official correspondence. This technology can produce high-quality drafts of formal letters and speed up the writing process, providing convenience for professionals to handle correspondence more efficiently.

GPT can generate initial letter drafts based on instructions or keywords provided by the user, then structure sentences in an orderly manner with a professional tone. With its ability to understand context, GPT assists in drafting various types of letters, such as invitations, notifications, and announcements. This is highly beneficial in work environments that require fast and accurate administrative management. Some companies have even adopted this tool to minimize the time needed to compose official documents, while ensuring the use of appropriate and consistent language.

The Department of Mathematics, Faculty of Mathematics and Natural Sciences (FMIPA), Universitas Gadjah Mada (UGM), sees the application of GPT in official correspondence as a step forward supporting administrative task efficiency, particularly in the academic world, which has many correspondence needs. The application of GPT in campus administrative activities can reduce the manual workload of drafting letters, speeding up the process of permits, notifications, and announcements within the campus environment.

The use of AI like GPT in campus administration and the broader work environment contributes to the Sustainable Development Goals (SDGs), particularly SDG 9 on Industry, Innovation, and Infrastructure. The application of this technology demonstrates innovation in work processes, creates efficiency, and improves the quality of communication at the academic and professional levels.

Although GPT offers an efficient and innovative solution for improving the quality and speed of administration, it is important for AI users to remain prudent in its application. This technology should be used as an assisting tool, not a complete replacement for human expertise. By maintaining integrity and considering the context and specific needs of each document, AI serves as a valuable companion in the work and educational fields. Thus, it does not diminish the value of human professionalism and responsibility.
